What is the difference between online and offline mode? What is the KSeF certificate for?

In KSeF, invoices can be issued in online mode (real time) or in offline modes (issued outside KSeF with later submission to the system).

Key differences

Online: the invoice is sent to KSeF immediately; after successful validation it receives a KSeF number and timestamp, and the buyer sees it in their KSeF inbox.
Offline: used in specific situations (offline24, offline during KSeF unavailability, emergency mode). The invoice must be submitted to KSeF within the prescribed deadline. If it is provided to the buyer outside KSeF (PDF/email, printout), it must carry two QR codes: OFFLINE and CERTYFIKAT.

What is the KSeF certificate for?

A KSeF certificate (most often type 2) confirms the issuer’s identity when sharing an invoice outside the system in offline modes. It is used to generate the CERTYFIKAT QR code so the document can be verified as originating from an authorized entity. The certificate is valid for a defined period and can be renewed.

When the invoice exists only within KSeF (online), two QR codes are not required. In offline modes, the codes are mandatory only when the document is provided outside KSeF.
