Will it be possible to edit an issued invoice if an error is found?
No. After acceptance into KSeF, an invoice becomes a legal document in an immutable form and cannot be edited or have its content replaced. If a substantive or calculation error is discovered after submission, the only correct course of action is to issue a correcting invoice.
A correction in KSeF functions as a separate document that references the original invoice (number and date), contains the reason for the correction, and presents the values before and after the change in such a way that the final net, VAT, and gross amounts reflect the actual state of affairs.
It is important to distinguish between a situation where a document is rejected by the KSeF system and a situation where a document has already been accepted.
If the system does not accept the file due to a technical error, schema non-compliance, or lack of authorization, the invoice does not receive a KSeF number and formally does not exist in circulation. In such a case, the file must be corrected and resubmitted — this is not a correction, but rather the proper issuance of the document.
Only after the KSeF number is assigned does the document become closed, and any changes require a correcting invoice.
Formal data, such as a typo in the buyer's name or an error in the address, may in some cases be corrected by a correcting note issued by the buyer. However, the note is not intended for changing elements that affect amounts or tax calculation, such as rates, tax base, or values. If the error affects settlements or tax, a correcting invoice must be issued by the seller.
