What is a QR code and what is it used for?
A QR code is a graphical marker placed on an invoice visualization (in PDF format or on a printout) that allows for quick document verification without the need to manually enter data. After scanning the code with a phone or scanner, the user is redirected to a dedicated verification page where they can check whether the invoice is in KSeF, and after entering the required data (such as NIP, PESEL, amount, or date) download its preview from the system.
The QR code does not replace the electronic invoice itself in KSeF, but rather simplifies access to the document and verification of its authenticity when the invoice is transmitted outside the system, for example via email or in paper form.
On the visualization of such invoices, a single QR code appears containing, among other things, the KSeF number. This code allows for easy confirmation that the document has been accepted by the system and enables downloading its preview. For the buyer, this is the simplest way to verify that the PDF file or printout in their possession corresponds to an actual electronic invoice in KSeF.
In the case of invoices issued in offline mode that have not yet been submitted to the system (for example, in offline24 mode), the visualization must contain two QR codes.
The first code, marked "OFFLINE," provides access to the invoice data and allows for its verification until the document is submitted to the system.
The second code, marked "CERTYFIKAT," serves to confirm the identity of the issuer — its generation requires a previously downloaded KSeF type 2 certificate.
Thanks to this solution, even before the system assigns a KSeF number, the recipient can verify that the invoice originates from the appropriate entity and has not been falsified.
